Coversion Costs

1. Hardware Costs

  • Network Costs
  • Server Upgrades - You may have to purchase a dedicated file server or upgrade your current file server with additional RAM or a new operating system.
  • Workstation Upgrades - Workstations may require the latest operating system or additional RAM to operate the new software.

2. Software Costs

  • Cost of Software
  • Cost of Software Modifications

3. Implementation Costs

  • Employee Time for planning & implementation
  • Temporary Help (if any) - many larger clients hire temps to enter data - such as royalty contracts - that can not be converted from their old system
  • Consultants (if any) - Do you need to hire consultants to assist in the software implementation.
  • Data Conversion
  • Physical Inventory - we recommend that clients conduct a new physical inventory prior or soon after implementing a new system, although this is not required.
  • Training - Onsite, offsite, online or self taught.

4. Ongoing Costs

  • Hardware Upgrades & Replacements
  • Software Upgrades - some vendors include the cost of software upgrades in their technical support package, other charge extra for this - as much as 1/3 of the cost of the original software purchase.
  • Annual Technical Support & Licensing Fees - normally 17% to 20% of the initial purchase price.
  • Staffing Costs - Do you need to hire more employees to manage the new system?
